STANDARDS AND BUSINESS PRACTICES

In order for ConventionCoverage.com to cover events, the use of capturing of images, audio, and/or video must be conducted at the event. To align the needs of viewers and the needs of attendees/staff/guests attending the event/convention, ConventionCoverage.com has documented a set of standards and business best practices to follow.
The following standards and business practices supplements the practices and policies set by the convention and/or event. In no way does the standards and business practices set by ConventionCoverage.com conflicts with the practices and policies set by the convention and/or event.
MODIFICATIONS AND INTERRUPTIONS
We reserve the right to change, modify, or remove the contents of the practices at any time or for any reason at our sole discretion without notice. However, we have no obligation to update any information on the documentation. We also reserve the right to modify or discontinue all or part of the policies without notice at any time. We will not be liable to you or any third party for any modification, price change, suspension, or discontinuance of the policy.
CAPTURING OF EVENT GUESTS/PANELISTS (Images, audio, or video)
In the event that the guest(s) or panelist(s) requests to not be recorded, ConventionCoverage.com will fulfill their requests and not cover pertaining to the guest(s)/panelist(s)
In the event the panel contains content not owned by the guest(s) and/or panelist(s), the content will not be covered/displayed in the final release of the content.
CAPTURING OF ATTENDEES (Images, audio, or video)
During any event, the presence of attendees will be present in the video, intentionally or unintentionally. In line with the policies of the event, ConventionCoverage retains the right that the attendees may be filmed (either intentionally or unintentionally) while attending the event.
If the attendees is the primary subject of the video, ConventionCoverage.com can request permission for the person(s) to be recorded (either through written, verbal or implied permission).
In the event that there is an attendee in the primary subject of view that is identified to be a minor, ConventionCoverage.com will make attempts to not show the subject; either through editing of the video to remove the faces of the subject or the content related to the subject, blurring the faces of the subject, or switching to another camera if needed.
USE OF CONTENT
Content produced by ConventionCoverage.com contains content from the following:
- Content generated by ConventionCoverage.com
- Content licensed to ConventionCoverage.com, which includes
- THUMBNAIL ONLY: Logo of the show/game/etc in the thumbnail of the video for the use of covering/news gathering only. Logo must not be the primary item in the thumbnail and must only be used to supplement the thumbnail.
PUBLICATION OF CONTENT (AUDIO OR VIDEO)
To incentivize the needs of the event while supplementing the needs of the viewers/listeners, content covered by ConventionCoverage.com may be held under an embargo at the discretion of the event and its staff or by ConventionCoverage.com and it subsidiaries. The audio and/or video will be released when the embargo has expired or cancelled.
To provide a continuous flow of content throughout the year, content may be delayed and published throughout the year(s) to follow best practices set by the content hosting service.
ConventionCoverage.com holds the final decision on restricting publication of content it deems to not align with its standards and practices and its partners before it goes into publication.
Use of ConventionCoverage.com’s content (with the exception of ConventionCoverage.com or its affiliates and subsidiaries) must receive written approval from a ConventionCoverage.com representative for the reuse of its content (exceptions are given if the content follows “fair use” policies, see https://fairuse.stanford.edu/overview/fair-use/four-factors/ for details about the requirements for content being used as fair use). Failure to receive written approval from CovnentionCoverage.com or complying with “fair use” policies will have their content taken down by a representative of ConventionCoverage.com or its subsidiaries.
Using ConventionCoverage.com’s content to make malicious copyright complaints to ConventionCoverage.com or masquerading as ConventionCoverage.com against other channels can result in a lawsuit for the damages resulting from the loss of profit, loss of time, damage to its brand, and legal costs associated with the lawsuit served in the State of California.
COVERAGE MARKET AREA
ConventionCoverage.com primarily covers conventions in the following market areas: Northern and Central California. The conventions/events ConventionCoverage.com operates depends on the convention/events it has agreements with.
To fulfill the ability to cover events while maintaining an operational profit or net zero per event, ConventionCoverage.com operates multiple different styles of coverage.
Convention Coverage operates on a two part video operation. The first part operates on a capture and offload during the event utilizing a pool of cameras to capture as many events/panel at the same time during the convention/event and offloading the recordings redundant drives in between events/panel. Following the event, recordings from the event are edited with a high degree of production quality and uploaded on a set schedule agreed with by the event. Convention Coverage operates on events typically with more than 10,000 attendees with more than 8 guests at the event operating on multiple days.
Convention Coverage On Location operates under a single live to tape/storage video production. Utilizing custom software, videos are finalized with a high degree of automation (at the cost of production quality) utilizing portable docker swarm servers running custom scripts. Depending on the feasibility of the network infrastructure, finalized videos are uploaded as soon as possible during the event with off scheduled video uploads on finalized videos that cannot be uploaded during the event (pending agreements with the event). Convention Coverage On Location operates on events typically with less than 8,000 attendees and/or has less than 6 guests at the event and/or operating on a single day.
Note: Exceptions are made to the type of operation depending on its agreements with the event.
Our failure to exercise or enforce any of these standards and practices shall not operate as a waiver of such right or provision. We shall not be responsible or liable for any loss, damage, delay, or failure to act caused by any cause beyond our reasonable control. If any provision or part of a provision of these standards and practices is determined to be unlawful, void, or unenforceable, that provision or part of the provision is deemed severable from these standards and practices does not affect the validity and enforceability of any remaining provisions.
